Lists & Tags

Lists and tags are the two ways PrimoCRM groups contacts. They look similar but serve different jobs, and using them well is the key to precise targeting.

A list is a broad audience, usually a subscription a contact knowingly joined, such as Newsletter or Product Updates. Contacts typically belong to a small number of lists, and lists map naturally to what someone unsubscribes from.

Use lists to answer: who did this contact sign up to hear from?

A tag is a flexible label describing a behavior, interest, or attribute, such as clicked-pricing, trial, vip, or webinar-2026. A contact can carry many tags, and automations add or remove them as people act.

Use tags to answer: what do I know about this contact?

Lists Tags
Purpose Broad subscription groups Behavior, interests, attributes
Typical count per contact A few Many
Set by Signup, import, forms Automations, forms, manual
Maps to unsubscribe Yes No

When you send a campaign or start an automation, you target by list and tag. Combining them gives precise segments without a separate query builder.

Example: send to contacts on the Newsletter list and tagged trial. Add a custom field condition to narrow it further, for example only those whose plan equals free.

Create, rename, and delete lists and tags under Lists and Tags. Deleting a tag removes it from every contact but never deletes the contacts themselves. Deleting a list detaches its contacts but leaves them in your CRM.

  • Forms can add a submitter to a list and apply tags on submit. See Forms.
  • Automations add and remove lists and tags as steps. See Triggers and Actions.
  • Imports can apply lists and tags to everyone in a batch. See Importing Contacts.
