Team Management

Team management is a Pro feature on the Agency plan. It lets you give other people on your site access to PrimoCRM without making them WordPress administrators: each person, called a manager, sees only the parts of the CRM you allow, and can only do what you allow there.

Managers are existing WordPress users, so create the user first if they do not have an account on the site yet.

  1. Go to PrimoCRM then Settings then Team.
  2. Click Add New Managers and search for the user by name, username, or email.
  3. Tick the permissions they should have. Check All selects everything.
  4. Save. The user now sees the PrimoCRM menu, with only the screens they can use.

To change someone’s access later, click Edit next to them. Remove takes their access away completely; their WordPress account itself is not touched.

Permissions are grouped by module. Write and delete permissions include read, so ticking Contacts Delete also gives Contacts Read.

Module Permissions
Dashboard CRM Dashboard
Reports & Analytics View Reports
Contacts Read, Add/Update/Import, Delete, Export
Emailing Read, Write/Send, Email Templates Manage, Delete
Forms Manage Forms
Automations Read, Write/Edit, Delete
Settings Manage Basic CRM Settings, Manage SMTP Credentials, Manage API Keys & Webhooks, Team Management / Add Managers, Data Deletion / Migration Zone

A screen a manager has no permission for is not in their menu, and the server refuses the request even if they find its address.

  • Administrators already have full access. An administrator cannot be added as a manager.
  • Nobody edits their own access. A manager cannot change or remove their own permissions.
  • You can only grant what you hold. A manager who was given Team Management / Add Managers can add other managers, but only with permissions they have themselves, and can only remove managers whose permissions they also hold.
  • Some screens stay admin-only. License, White-label, and AI settings are never available to managers.

On other plans, Settings then Team shows what the feature does and that it is included in the Agency plan. The permission checks themselves live in the free plugin, so they apply on every site.
